Reserving Equipment: Quotes & Proposals do not guarantee availability of rental equipment. Equipment and items will be reserved only upon receipt of a valid credit card, a signed rental contract and a 25% NON-REFUNDABLE deposit by credit card or 50% deposit required for orders over $2000.

Our 25% deposit fee is non-refundable.

Rental Terms & Conditions

Paying the payment request for the rental items associated with the attached pricing constitutes agreement to these rental terms and conditions. You are responsible for reading the entirety of the Terms and Conditions. The following conditions and its terms will set fourth an agreement between Gruene Event & Party Rentals, LLC and event host/client (clients), for items displayed on invoice and any other rentals stated in the notes area. These written Terms & Conditions sets forth the full, written intention of the host/client. Signature on this form/term & Conditions constitutes agreement to this document. Secondly this form grants Gruene Event & Party Rentals, LLC to charge the client’s credit card for any damages that may occur during the rental period.

Failure to return goods by the specified date constitutes theft and will result in criminal charges. The renter will pay for any damages to the rented equipment incurred during the contracted upon rental period, or while in the renters‘ possession. Should any equipment associated with the contract go missing or is stolen, the renter agrees to be charged with the value of the equipment as stated on this rental contract. The renter will advise Gruene Event & Party Rentals, LLC of any change of address or telephone number that may occur while in possession of the contracted goods.

All rental charges are to be paid seven days in advance to your event or delivery/pickup date to Gruene Event & Party Rentals, LLC by credit card (we will charge this amount to the credit card placed on file with us at the time of the order confirmation).

Rental equipment is not covered by Gruene Event & Party Rentals, LLC insurance, The renter assumes all financial responsibility for the equipment included in the rental contract.

The renter will pay all overdue charges for any and all equipment returned after the agreed upon due date. The renter will pay any fees incurred by the owner in the event of repossessing the items or collecting the rentals due.

A 25% Non-Refundable deposit (50% for orders over $2000) is required to confirm a rental reservation with the balance due on pickup. Picture ID and credit card with matching name is required to be submitted and kept on file for all renters during the rental period.

Upon delivery or pickup, the renter agrees that all of the rentals are in satisfactory condition. If the client wants to advise of damage upon inspection, this must be done so before the items have either left our facility or while our staff is present for delivery or setup.

Rental Protection Plan (RPP)

Rental Protection Plan: A 10% damage protection charge will automatically be added to your contract (unless declined before pickup/delivery via email request or decline to contact us by email (Add email). Damage protection will cover the first $150.00 of broken or damaged equipment and 50% of any additional damage. The remaining 50% will be the customer’s responsibility. If the damage protection is declined, the customer is responsible for the full cost of replacement, and/or repairing the equipment. The Rental Protection Plan (RPP) is not insurance and does NOT cover the following: Rental items not returned, Theft, damage resulting from vandalism, damage resulting from the failure to secure rental items during transport, overloading or exceeding the rated capacity of that item, damage to motors or other electronic devices caused by artificial current, damages resulting from overturning, any damage due to weather, any damage to third party sub-rental items or specialty linens. If the Rental Protection Plan (RPP) is declined, the client will pay full retail replacement cost of the damaged item(s).

Large Tent Delivery / Install Timeline

The details mentioned above are only for securing your requested tent in our system to ensure that we don’t overbook you requested event date with your tent trental to fit our delivery and setup schedule if unforeseen problems may arise that set back the timing and efficiency of the tent install. We will install the tent within our work schedule, taking into consideration your event start time. We understand that you may need to make adjustments to your event schedule, and we will do our best to accommodate your needs. We will provide a tentative delivery time the week prior to and/or the week of your event. Schedule adjustments may be made at the discretion of Gruene Event & Party Rentals, LLC. Management team. Our goal is to ensure that you have a successful event, and we are committed to providing you with the best service possible. Please note that if you require additional time for tent setup, it should be noted as our team may require additional time for set up if adverse weather conditions or other unforeseen variables get in the way of a successful tent install. For this reason, the tent setup date cannot be the same day and may be up to 3 or 4 days prior to the event date and 3-4 days after the event for removal.

Our Marquee tents can be staked on grass, weighted or a combination of both, depending on ground conditions. The tent stakes will be driven into the ground at least 35-45 inched deep. Therefore, we require a line locate and for you to let us know if there are any underground sprinklers or any other item that might be buried where we will be installing the stakes. If you are on another type of surface (concrete, gravel or anything other than grass), we will require the use of weights to anchor the tent down. To add weights will be an additional cost. Please let us know if you require the tent to be weighted vs staked.

Delivery/Pickup Service

Deliver is available on all orders regardless of size. All fees are based on tailgate delivery and charged by geographic location. Additional delivery charges will occur for 2nd floor or higher delivery locations, excessive distance for loading and unloading trucks, specific delivery and pickup times, and after-hours delivery and pickup. Delivery fee quotes may change after the site inspection. All items will be delivered and picked up at a designated location. The client should be available to count all items upon delivery and pickup, otherwise, the counts will be considered accurate.   Orders typically delivered 1-3 days in advance of your event while pickups occur 1-2 days following the event. Our standard delivery routes only take place in the afternoons between 1pm – 5 pm inside a schedule that is most efficient for our team to execute. You may request any custom delivery or pickup time at an additional cost of $175.00 per loaded trip over and above the standard delivery rate. Responsibility for equipment remains with the client from the time of delivery to the time of pickup. Please be sure all equipment is secured when not in use and protected from the weather.

On-Call Service

We provide 24-hour On-Call service to our clients. Additional charges may apply for these services.

Weather

The client understands the tents are temporary structures, designed to provide limited protection from weather conditions, primarily sun and rain. However, there may be situations, particularly those involving strong winds and lightning, in which a tent will not provide protection and may even be damaged or blown over. Evacuation of the tents to avoid possible injury is recommended when sever weather threatens the area where the tent is erected. People must leave the tent and not seek shelter in the tent during such conditions. Because it may be difficult to determine if the weather is severe enough to necessitate evacuation, it is best to follow on the side of caution, In other words, if in doubt, evacuate.

Cleanup/Preparation for Pickup

All Decore, trash and other items not provided be Gruene Event & Party Rentals, LLC. Should be removed from the tent before the scheduled pickup time. The client assumes responsibility for all damages caused be decorations. Please be aware that some Decore can cause permanent damage to tents, linens and other rental items, Please ask if you are unsure to avoid the cost of damages. Decorations must not affect the structural integrity of the tent. All chairs and tables should be stacked as delivered. All dishes, glassware and cooking equipment should be returned to proper rack or container and assembled at a single location for pickup. Dishes, glassware and flatware must be well rinsed and food and particle free.

Linens

Please be aware that fabric variations due to washing, normal use and dye lot differences are a part of the unique character of rental linens. Linens should be returned food and particle- free and shaken out and put into laundry bags provided. Linens that are returned with burns, holes, tears or are permanently stained due to negligence will be billed at replacement cost.

Additional Charges may Apply if:

The site is not ready or accessible when the crew arrives. The tent and rented equipment are not ready for pre-arranged pickup. Delivery or pickups is from any location other than ground level (upstairs or downstairs). All chairs and tables are not stacked and bagged as delivered for pickup. Food service items are not rinsed and food free. All additional equipment (Stoves, grills, ovens, etc) is left dirty. Customer requires pickups before or after normal business hours.

Late Fees

Late fees: The Renter agrees to return all rented equipment by the specified date and time on this contract. If the Renter fails to do so, they will be charged a late fee of 25% of the order total per day for the first 4 days and after 4 days will be considered lost or stolen. Additionally, if any late items are set to be rented to another customer inside the late period, the Renter will be charged extra fees for causing inconvenience and loss of revenue to Gruene Event & Party Rentals, LLC.

Ne sure all equipment is returned according to these TERMS AND CONDITIONS. The client is solely responsible for any additional charges incurred as a result of failure to meet these conditions. All collection of fees, attorney fees, court costs, or any expenses involved in the collection of rental charges will be the non-prevailing party’s responsibility.
